Position Views

Overview

Position Views are customizable configurations of the Positions page table that allow users to control which Positions are displayed, which columns appear in the table, how the table is sorted, and what filters are applied. Views save across sessions — your configuration persists the next time you visit the Positions page.

→ See 111 - Positions for full product knowledge on Positions.

What are Position Views and Why Do They Exist?

Position Views are saved configurations of the Positions page table. Each View is a unique combination of applied filters, visible columns, and sort preferences that the user can switch between at any time.

Views exist so that users can quickly navigate to the subset of Positions most relevant to their role without manually re-applying filters and column configurations each time they visit the page. For example, a user may have one View for their active open positions and another for positions synced from a connected ATS — switching between them is a single click.

What are the Default Position Views?

Every user starts with the following Views created by default. These Views can be deleted if desired and the columns displayed within them can be customized:

  1. All Positions — displays all Positions with no filters applied. (This View cannot be closed or deleted. Column preferences save across sessions.)
  2. Open - Published — displays Positions with Status = Open - Published
  3. Open - Unpublished — displays Positions with Status = Open - Unpublished
  4. Closed — displays Positions with Status = Closed
  5. Archived — displays Positions with Status = Archived
  6. Jobs from {{Integration Name}} — displays Positions synced from a connected ATS Integration. This View is only visible if an ATS Integration is connected. It can be closed but cannot be deleted, and column preferences can be customized.

Note: The "Jobs from {{Integration Name}}" View is only available if an ATS Integration is configured in your account.

→ See 120 - ATS-Integrations for more information on ATS Integrations.

→ See 2707 - Delete-Position-View for instructions on deleting a Position View.

Who Can Create and Manage Position Views? Can They Be Shared?

Any user with access to the Positions page can create, edit, and delete their own Position Views. Views are not yet shared across the organization — Views created by one user are not visible to other users. Each user manages their own set of Views independently.

If you need to share position data with another user in the meantime, the best approach is to export the View and share the resulting CSV file directly.

→ See 2704 - Export-Position-View for instructions on exporting a Position View.

How Do You Create a Position View?

→ See 2701 - Create-Position-View for instructions on creating a new Position View.

Can I Edit the Columns Displayed Within a View?

Yes. Each View can be configured to display different columns. Columns are divided into two sections:

Leadline Columns — data generated within Leadline. The following columns are available:

  • Position Name and Location (always displayed — cannot be removed)
  • Leadline ID
  • Leadline Status (Open - Published, Open - Unpublished, Closed, Archived)
  • Date Published
  • Created On
  • Recently Updated On
  • Recently Updated By
  • Closed By
  • Closed On
  • Total Submissions (includes incomplete submissions but excludes archived submissions)
  • Job Type
  • Assigned Workflow
  • Assigned Brand
  • Position Tags (one column per Position Tag configured in your organization)
  • Search Tags

Integration Columns — data synced from a connected ATS Integration. These columns are only visible if an ATS Integration is connected.

  • Job Code
  • Department
  • Office
  • Office Location
  • Office Address
  • Hiring Managers
  • Recruiters
  • Confidential Status
  • Synced to Leadline On

Note: Integration columns cannot be placed before the divider that separates Leadline data from ATS data. The column order within each section can be customized, but the two sections remain separated.

→ See 2702 - Configure-Position-View-Columns for instructions on configuring columns within a View.

Can I Reorder Columns Within a View?

Yes. Columns can be reordered within their respective section using the drag handle in the column editor. Position Name and Location is always the first column and cannot be moved.

Integration columns can only be reordered within the integration section — they cannot be moved into the Leadline section or placed before the divider.

Column widths can also be resized directly in the table by dragging the column border.

→ See 2703 - Reorder-Position-View-Columns for instructions on reordering columns within a View.

Can I Apply Filters to a View and Will They Save?

Yes. Filters can be applied to any View and are saved in real time as part of that View's configuration — they persist across sessions. The next time you open the View, the same filters will be applied automatically.

→ See 2706 - Apply-Filters-to-Position-View for instructions on applying filters to a Position View.

What Position Filters Are Available?

Filters are divided into two categories:

Leadline Filters — available to all users:

  • Specific Positions — display only selected Positions from the list
  • Status — display Positions by status (Open - Published, Open - Unpublished, Closed, Archived)
  • Created On — display Positions created within a selected date range or relative period (Today, Yesterday, Last 7 Days, Custom)
  • Date Published — display Positions first published within a selected date range or relative period
  • Recently Updated On — display Positions most recently updated within a selected date range or relative period
  • Recently Updated By — display Positions most recently updated by selected users
  • Closed By — display Positions closed by selected users
  • Closed On — display Positions closed within a selected date range or relative period
  • City — display Positions located in selected cities
  • State — display Positions located in selected states
  • Job Type — display Positions by job type (Full-Time or Part-Time)
  • Position Tags — display Positions with assigned Position Tags
  • Search Tags — display Positions with assigned Search Tags
  • Assigned Workflow — display Positions assigned to selected Workflows
  • Brand — display Positions assigned to selected Brands
  • Assigned Landing Page — display Positions with selected Landing Pages assigned (includes options for External URL and None)
  • Assigned Post-Submission Pages — display Positions with selected Post-Submission Pages assigned (includes options for External URL and None)

Integration Filters — only available if an ATS Integration is connected:

  • Synced to Leadline from {{Integration Name}} On — display Positions synced from the connected ATS within a selected date range or relative period (Today, Yesterday, Last 7 Days, Custom)
  • Department — display Positions with selected departments from the ATS
  • Office — display Positions with selected offices from the ATS
  • Office Location — display Positions with selected office locations from the ATS
  • Office Address — display Positions with selected office addresses from the ATS
  • Hiring Managers — display Positions assigned to selected Hiring Managers from the ATS
  • Recruiters — display Positions assigned to selected Recruiters from the ATS
  • Confidential Status — display Positions by confidential status (True or False)

Note: Date-based filters support both Exact Date (a specific date range) and Relative Range (Today, Yesterday, This Week, or a custom number of days). Relative filters automatically update each time the View is loaded — making them useful for saved Views like "Jobs Synced Today" that always reflect current data.

Can I Sort Columns Within a View?

Yes. The following columns support sorting and the sort preference saves with each View:

Leadline columns:

  • Position Name — Sort A → Z or Z → A
  • Leadline ID — Sort Ascending or Descending
  • Created On — Most Recent on Top or Oldest on Top
  • Date Published — Most Recent on Top or Oldest on Top
  • Recently Updated On — Most Recent on Top or Oldest on Top
  • Total Submissions — Sort Ascending or Descending

Integration columns:

  • Created On — Most Recent on Top or Oldest on Top
  • Recently Updated On — Most Recent on Top or Oldest on Top
  • Synced to Leadline On — Most Recent on Top or Oldest on Top

Can I Rename a Position View?

→ See 2705 - Rename-Position-View for instructions on renaming a Position View.

Can I Delete a Position View?

Yes. Views can be deleted at any time. Deleting a View requires typing "Delete" in a confirmation modal before the action is completed. The five default Views (All Positions, Open - Published, Open - Unpublished, Closed, Archived) cannot be deleted.

Can I Set a View as My Default?

Yes. The All Positions View is your default — filters and column preferences applied to it are saved automatically and will be restored the next time you visit the Positions page.

If you want a specific View to be the first thing you see when you log in, simply leave that View's tab open before closing the browser. The next time you visit the Positions page, the open tab will still be active with your applied filters intact.

Can You Export Position Data from a View?

Yes. There are two export options available on the Positions page:

Export View — exports the full Positions table exactly as it is currently displayed, respecting the active columns, column order, applied filters, and sort preferences of the current View.

Export Selected Positions — when one or more Positions are selected in the table, exports only the selected Positions while preserving the same columns, column order, and formatting as the current View.

The export is delivered as a CSV file. Each row represents one Position and the columns reflect the columns configured in the active View.

→ See 2704 - Export-Position-View for instructions on exporting a Position View as a .csv file.
