ATS Integrations
Overview
ATS Integrations allow Leadline to exchange data with your connected Applicant Tracking System — receiving Job data from the ATS into Leadline and pushing Submission and Candidate data from Leadline back to the ATS. This creates a seamless, one-click experience for syncing candidates without leaving the Leadline platform.
Note: Configuring connected ATS systems requires a user to be listed as a Company Administrator. Syncing candidates to ATS systems requires the appropriate permissions.

What is an Applicant Tracking System (ATS) and Why do ATS Integrations Exist?
An Applicant Tracking System (ATS) is a software platform used by organizations to manage and track job applicants throughout the hiring process. It serves as the organization's system of record for candidates — storing application data, tracking candidate status, and managing hiring workflows. Common ATS platforms include Greenhouse, Lever, Workday, iCIMS, and BambooHR.
Leadline is not, by definition, an ATS — however it shares many capabilities with traditional ATS platforms. ATS Integrations exist so that organizations already using an ATS as their system of record can use Leadline as the front-end of their recruiting funnel while keeping their ATS up to date automatically. Candidates sourced and screened in Leadline can be pushed to the connected ATS in one click — without leaving the platform or manually re-entering data.

Why Should I Connect an ATS to my Account?
If your organization uses an ATS as its system of record, connecting it to Leadline keeps that data accurate and up to date without requiring manual entry.
Without the integration, candidate data has to be manually logged into the ATS — which introduces the risk of missed entries, duplicate records, and inconsistent data over time. With the integration, candidates are captured and screened in Leadline first, then synced to the ATS once they have been reviewed and qualified. Only vetted candidate data reaches the ATS, which keeps your system of record clean and reliable.
For organizations running high application volumes across multiple channels, this removes a significant amount of manual work from the recruiting process and ensures your ATS reflects an accurate picture of your hiring pipeline at all times.

What ATS Platforms Does Leadline Integrate With?
Leadline currently supports integrations with the following ATS platforms:

Who Can Configure ATS Integrations?
Only Company Administrators can configure ATS Integrations.

Are ATS Integrations a Premium Feature?
Yes. ATS Integrations are a premium feature. Contact your Customer Success representative to enable ATS Integrations.
How do I Set Up an ATS Integration?

How Does the ATS Integration Work?
ATS Integrations work in two directions:
- Job Data flows from the ATS → Leadline — job listings from your connected ATS can be synced into Leadline as Positions
- Candidate and Submission data flows from Leadline → ATS — candidate information collected in Leadline can be pushed to your connected ATS to create applications
What Job Data is Received from the ATS?
Note: Each ATS syncs data differently — some metadata listed below may not be available depending on whether the connected ATS supports it.
When syncing Jobs from a connected ATS, Leadline receives the following Job information:

| Confidential | Indicates whether the job is confidential |
| Job Code | Internal reference codes used by the hiring organization |
| Department | Departments associated with the job |
| Office | Offices associated with the job |
| Office Location | Location of the offices associated with the job |
| Office Address | Address of the offices associated with the job |
| Hiring Managers | Information about the hiring managers of the job |
| Recruiters | Recruiters associated with the job |
Can I Turn Off Job Sync?
Yes. Job Sync can be disabled at any time if you prefer to manage Positions in Leadline independently from your ATS.

How Do I View Jobs That Were Included in the Last Sync?

When I Connect my ATS for the First Time, Will All of My Jobs Sync at Once?
No. By default, Leadline applies Native Filters and only syncs Jobs that were created or updated within the last 45 days. These settings can be updated after the initial sync if preferred.
Best Practice: Only sync relevant jobs to Leadline. Syncing old or outdated jobs does not grant additional reporting features or functionality and can cause system performance to suffer. Large sync volumes also increase the risk of session timeouts.

Does Leadline Sync Application Form Questions from Jobs Synced from an ATS?
No. Leadline does not support syncing Application Form questions from connected ATS systems. All Application Forms for synced jobs will contain one question asking candidates to upload their resume. It is best practice to import Application Forms for newly synced Positions to avoid manual configuration.

Can I Automatically Assign Landing Pages to Jobs Synced from an ATS?
Yes. You can choose to assign Landing Pages to all synced jobs and all jobs that will be synced in the future, or disable the option which sets the Landing Page option to "Application Form" for all synced jobs.

Can I Automatically Assign a Brand to Jobs Synced from an ATS?
Yes. You can choose a Brand to be automatically assigned to all synced jobs and all jobs that will be synced in the future.

Can I Automatically Assign a Workflow to Jobs Synced from an ATS?
Yes. You can choose a Workflow to be automatically assigned to all synced jobs and all jobs that will be synced in the future.

Will Jobs Automatically Be Published in Leadline When Synced from an ATS?
By default, jobs synced from a connected ATS are not automatically published in Leadline. To maximize your use of Leadline, it is recommended to review each synced Position before publishing — taking the opportunity to enhance the job description, add relevant pre-screening questions on the Application Form, and assign a personalized Landing Page that best fits the candidate audience you are trying to attract.
That said, Leadline does support automatically publishing jobs received from your ATS if preferred. To enable this, you need to configure the following in advance:
- What Landing Page should be automatically assigned to every synced job
- What Workflow should be automatically assigned to every synced job
Once both are configured, jobs will be published automatically when they sync from the ATS.

If I Update a Job's Status in my ATS, Will Leadline Pick Up This Change?
Assuming your ATS supports the concept of job status in the API used to retrieve job information — yes, Leadline will automatically pick up this change during the next job sync. Since the offer letter and onboarding process typically live within the ATS, it is expected and simpler to close the job in your ATS and let Leadline automatically reconcile that update on the next sync rather than managing status changes in both platforms separately.

How Often Does Leadline Sync Jobs from the ATS?
Sync frequency depends on your connected ATS system. The available sync cadences are:
- Every 6 hours (4x per day)
- Every 8 hours (3x per day)
- Every 12 hours (2x per day)
- Every 24 hours (1x per day)
Users can also trigger a delta sync manually at any time to get the most up-to-date status on synced jobs without waiting for the next scheduled sync.

What Candidate Information is Sent to the ATS?
Note: Each ATS handles candidate data differently — the fields available when syncing a candidate depend on what your connected ATS supports. Not all fields listed below are available for every ATS. See "What ATS Systems Support Which Data When Syncing Candidates to Jobs?" below for a full capability matrix of which fields are supported by each connected ATS platform.
When syncing candidates to a connected ATS, you must select a Job within the ATS to create an application for. The following data is associated with the application created in your connected ATS:

What ATS Systems Support Which Data When Syncing Candidates to Jobs?

How are Candidates Synced to the ATS?

When are Candidates Synced to the ATS?
When a sync is triggered, it begins in real time. You will be notified within the UI whether the sync was successful or if it failed.
What Happens if a Sync Fails?
If a candidate sync fails, click the "Show Details" button in the modal to display the error that was encountered. The error message should indicate why the sync failed. If the error is unclear or displays raw code or HTML, copy the content into the Rover chat and ask Rover to analyze the error message for more details.
Can I Retry a Failed Sync?
Yes. Failed syncs can be retried at any time. However it is best practice to first understand why the sync failed before retrying — retrying without resolving the underlying issue will likely result in the same error.

Can the Same Candidate Be Synced More Than Once?
In most cases yes — a candidate can be synced to the ATS multiple times, but each sync must be associated with a different job within the ATS. Leadline applies de-duplication logic to prevent issues — for example, Leadline will not allow a sync when there is an existing confirmed sync record for that candidate and that specific job ID. Where applicable, Leadline also stores the Candidate ID value returned from your ATS to ensure no duplicate records are created in the ATS — subsequent sync calls for the same candidate will use the stored Candidate ID rather than creating a new record.
How Will I Know if a Candidate Was Synced to my ATS for a Different Job?
All sync activity is logged in the Candidate profile. When viewing Submissions in Kanban view, submission cards display the following sync status indicators:
Synced to {{IntegrationName}}— the candidate was successfully synced to the ATS from the Position you are currently viewingIn {{IntegrationName}} for Other Positions— the candidate was successfully synced to the ATS from a different Position in Leadline{{IntegrationName}} Encountered an Error— a sync was attempted from the Position you are currently viewing but an error occurred

Can I Disconnect an ATS Integration?
Yes. A connected ATS Integration can be permanently disconnected at any time. Before disconnecting, be aware that any jobs previously synced from the ATS will remain in Leadline — disconnecting the integration does not remove them.

What Happens to ATS Integration Events in the Candidate Activity Log?
Every time a sync is attempted, an event is logged in the Candidate Activity Log. The event will display:
- Whether the sync was successful or failed
- Who triggered the sync
- What job the candidate was synced to
- When the sync was triggered
- The internal Job Code associated with the job the candidate was synced to

What Permissions Are Required to Sync Candidates to the ATS?
