User Roles

This document covers everything you need to know about User Roles in Leadline — what they are and what the default roles can do.

What is a User Role?
A user role is a pre-configured set of permissions that can be quickly assigned to a user. Rather than configuring permissions individually for every user, roles allow administrators to define a permission template once and apply it to any user in that role. Individual permissions can still be overridden at the user level if a specific user needs access beyond what their assigned role allows.

Why Do User Roles Exist?
User roles exist so that administrators can add large numbers of non-admin users and quickly configure their permissions without having to do so on an individual basis. Roles allow administrators to define a standard permission set once and apply it consistently across all users in that role.
What User Roles Are Available in Leadline?
Leadline has three default user roles:
- Company Administrator (Admin)
- Hiring Manager (Non-Admin)
- Recruiter (Non-Admin)
Non-admin role names can be renamed and individual permissions within each non-admin role can be configured to match your organization's needs.

What is a Company Administrator?
A Company Administrator is a user with unrestricted, full access to the platform at all times. Company Administrators are responsible for setting up and configuring the platform so that distribution to non-admin users is seamless and the Leadline product is tailored to the organization's existing process — augmenting and optimizing their recruiting efforts.
The Company Administrator role cannot be customized. Company Administrators always have full access regardless of any role or permission configuration.
What is a Recruiter?
A Recruiter is one of the three default user roles available out of the box. Recruiters have fewer restrictions on their user permissions compared to Hiring Managers. They are typically the users involved in the position creation, configuration, posting, advertising, sourcing, and screening stages of the recruitment process.

What is a Hiring Manager?
A Hiring Manager is one of the three default user roles available out of the box. Hiring Managers have the most restrictions on their user permissions of the two non-admin roles. They are typically the users who make the final decision on whether to hire a candidate during the hiring process.
By default, Hiring Managers are not involved in position creation, posting, page assignment, candidate sourcing, or the screening process — however this varies from organization to organization and can be adjusted through role permission configuration.

Can User Roles Be Customized Beyond the Three Defaults?
No. Leadline currently has three total user roles and no additional roles can be created. The Company Administrator role cannot be customized — it always has full unrestricted access to the platform. The Hiring Manager and Recruiter roles can be customized with individual permissions to match your organization's needs.

Can a User Have More Than One Role?
No. Users can only be assigned one role at a time. If a user's access needs change, their role can be updated or their individual permissions can be overridden.

Can You Have More Than One Company Administrator?
Yes. There is no limit to the number of Company Administrators within an organization. You can have as many Company Administrators as needed.
How is a User Role Assigned to a User?

Where Are User Roles Configured?
User roles are configured in the User Roles tab of the Admin Hub. You must be a Company Administrator to access and manage user roles.
