Smartlines
Overview
Smartlines are Leadline's dynamic placeholder system — a fixed set of system-provided variables that automatically populate with relevant data when Landing Pages are rendered or when email and SMS text message templates are sent. They enable organizations to reuse templates across multiple Positions and send personalized mass communications without manually editing each message.

What are Smartlines?
Smartlines are dynamic placeholders that automatically populate with relevant data when a Landing Page, email, or SMS text message template is rendered or sent. Rather than manually typing a candidate's name or a position's title every time, a Smartline like {{Candidate Name}} or {{Position Name}} is inserted into the content once — and Leadline automatically fills in the correct value for each individual candidate or Position.
For example, the message:
"Hi {{Candidate Name}}, thank you for applying to our {{Position Name}} position!"
Would display to an actual candidate as:
"Hi Sarah, thank you for applying to our English Teacher position!"
Why do Smartlines Exist?
Smartlines exist so that users can:
- Reuse Landing Page templates and layouts across multiple Positions — the same Landing Page can be assigned to many Positions and Smartlines ensure each one displays the correct position-specific information automatically
- Send personalized mass communications — email and SMS text messages can be sent to large groups of candidates while still feeling personal and informative, using each candidate's own data to populate the message
Who Creates Smartlines and Can you Create Custom Ones?
Smartlines are not created by users — they are provided by Leadline out of the box as a fixed, predefined set of system variables. Custom Smartlines cannot be created or edited.
What Smartlines Are Available to Use?
Smartlines are divided into two categories depending on where they are used — Landing Pages or Communications. Some Smartlines are available in both.
Landing Page Smartlines
These Smartlines are inserted into Landing Pages and pull their values from the Position Details of the assigned Position. Some are also available for use in Communications.

Email Communication Smartlines
These Smartlines are available when composing or templating Email messages to candidates. Some Smartlines require a Position to be selected before sending so proper context can be applied.

What is the Difference Between {{Brand Name}} and {{Organization Name}}?
These two Smartlines pull from different data sources and serve different purposes:
{{Organization Name}}— always displays the Organization name configured in Admin Hub > Organization Information. This is the legal employer name at the account level and remains consistent across all Positions.{{Brand Name}}— displays the Brand name assigned to the specific Position being referenced. This is the candidate-facing identity for that Position and may differ from the Organization name.
For most organizations with a single Brand, these values will be the same. For organizations with multiple Brands, they may differ depending on which Brand is assigned to the Position.

Where Can Smartlines Be Used?
Smartlines can be used in the following areas of the platform:
- Landing Pages — to populate position-specific information dynamically
- Email Communications — in individual emails, bulk emails, and email message templates
- SMS Text Communications — in individual texts, bulk texts, and SMS message templates
How are Smartlines Used in Landing Pages?
Smartlines are inserted into Landing Page text fields to populate position-specific information automatically. This allows organizations to create one Landing Page template and reuse it across multiple Positions — each Position will display its own correct information without any manual editing.

How are Smartlines Used in Communications?
Smartlines in communications populate messages with information about the candidate, the user sending the message, or the Position being referenced. Best practice when sending mass communications is to use Smartlines wherever possible — the goal is to make each message feel personal and informative rather than generic, so candidates do not feel they are receiving a mass marketing email or text.

Are Smartlines Case-Sensitive or Format-Sensitive?
It depends on where the Smartline is being used:
In Communications (Email or SMS Text) — Smartlines are selected from a dropdown menu, so case sensitivity and formatting are handled automatically. Users do not need to worry about syntax errors.
In Landing Pages — Smartlines are case-sensitive and format-sensitive. If the syntax is disrupted in any way — including incorrect capitalization, extra spaces, or missing brackets — the Smartline will render literally rather than populating with the intended data. For example, if {{Job Description}} is entered as {{JobDescription}}, the Landing Page will display {{JobDescription}} as plain text rather than the actual job description.
Best Practice: Always select Smartlines from the dropdown menu within Landing Page text fields rather than typing them manually. This prevents formatting errors and ensures the correct syntax is used every time.
What Happens if a Smartline Has No Data to Populate?
If a Smartline has no data to populate — for example, if a position's salary information was never provided for a position, but {{Position Salary Information}} was used in an email message — the Smartline will render as blank. Nothing is displayed in its place.
What Happens if a Smartline is Used Incorrectly or Misspelled?
The behavior depends on where the Smartline is used:
In Communications (Email or SMS Text) — if a Smartline is misspelled or used incorrectly, it will not render anything and will be omitted from the message entirely.
In Landing Pages — if a Smartline is misspelled or used incorrectly, it will render as typed — the misspelled placeholder text will appear visibly on the Landing Page.
Best Practice: Always select Smartlines from the dropdown menu when editing text fields in Landing Pages to avoid misspellings appearing on live candidate-facing pages.
Can Smartlines be Used Alongside Hard-Coded Text?
Yes. Smartlines and hard-coded text can be used together within the same text field. This is useful when a portion of the content needs to be dynamic — populated from Position or candidate data — while another portion remains fixed regardless of the Position or candidate.
A common example is a Landing Page that uses {{Job Description}} to dynamically display the job description for each Position while also including a static Equal Employment Opportunity statement that reads the same across all Positions.
