Application Form
Overview
An Application Form is a structured form associated with every Position in Leadline. It is made up of one or more sections, each containing Application Form Questions. Application Forms are used to determine whether a candidate is qualified or unqualified for the position. Application Forms are designed to be concise — ideally completable in 3 to 5 minutes — and collect only the information needed to assess a candidate's fit for the role.
Every Position must have an Application Form with a minimum of one section containing at least one question.

What are Application Forms?
An Application Form is a series of sections, each containing one or more Application Form Questions. Together, these questions collect candidate information that is evaluated to determine whether a candidate is qualified or unqualified for the position.

Why Do I Need Application Forms?
Application Forms are the mechanism through which candidates provide information when applying to a position. Without an Application Form, Leadline cannot collect, evaluate, or score candidate submissions.
Every Position must have an Application Form assigned before it can go live. The only exception is when a Landing Page that bypasses the Application Form is assigned to the position instead.

Who Creates Application Forms?
Application Forms are created by anyone responsible for sourcing applicants or leads for a position. Access to create and edit Application Forms is permission-controlled and configured by your organization's administrator.
If you can access the Application Form tab but cannot make changes, contact your Leadline administrator to request edit access.

Where are Application Forms Created?
Application Forms are configured in the Application Form tab within the Position details page.

When Do I Need to Create an Application Form?
Every Position in Leadline has an Application Form. By default, Application Forms are automatically created at the same time a Position is created. An Application Form must have at least one section containing at least one Application Form Question before the position can be published.

Are Application Forms Required?
Yes. Every Position must have an Application Form associated with it. The only exception is when a Landing Page that bypasses the Application Form is assigned to the position instead.

How Do I Create an Application Form?

Is There Version Control for Application Forms?
Yes. Every time changes to an Application Form are published, a new version is created and stored. Versions allow Leadline to maintain data accuracy in reporting — ensuring that submissions are always tied to the specific version of the Application Form that was active when they were collected.
The following version states exist:
- Current — the version of the Application Form that is currently published and active
- Draft — unpublished changes that have been saved but not yet promoted to a version
- Previous Versions — past published versions of the Application Form, accessible at any time
A new version is only created when changes are published. Saved drafts do not create a new version until they are explicitly published.

Can I Export Application Form Question Responses?
Yes. Application Form response data can be exported in two ways:
Individual Submission Export — export a specific candidate's responses to an Application Form, including all information they provided when applying to a position.

Position-Level Export — export Application Form responses across all submissions for an entire position for a more holistic and generalized view of the data.

What Can Application Forms NOT Do?
Application Forms provide the structure for collecting candidate information but do not calculate Lead Scores on their own. Lead Scores are determined at the Submission level based on how a candidate's responses align with the weighted values assigned to each Application Form Question.

What Happens After a Candidate Submits an Application Form?
When a candidate completes and submits an Application Form, the following happens in order:
- A Submission is created and a Lead Score is generated. The Submission evaluates the candidate's responses against the weighted values assigned to each Application Form Question to produce a Lead Score. Note that some Submissions can be created without a Lead Score — these are called Incomplete Submissions.

- Workflow automations are triggered. If the Workflow stage the Submission is created in has an associated automation, that automation will fire automatically upon Submission creation.

- Notification preferences are evaluated. Depending on the user's notification preferences, an email notification may be sent to alert them that a new Submission is available for review.
