HRIS Integrations
Overview
HRIS Integrations allow Leadline to create employee profiles in your connected Human Resources Information System directly from a candidate profile — without leaving the Leadline platform. This is a one-way integration: Leadline pushes data to the HRIS. No data flows from the HRIS back into Leadline.
Note: Configuring HRIS Integrations requires Company Administrator access. Creating employee profiles in a connected HRIS requires the appropriate permissions.

What is an HRIS and Why do Integrations Exist?
A Human Resources Information System (HRIS) is a software platform used by organizations to centralize and manage employee data and HR processes. Unlike an ATS which focuses on recruiting and applicant tracking, an HRIS is used for post-hire activities such as onboarding, payroll, benefits administration, and employee record keeping. Common HRIS platforms include Workday, ADP, Paychex, BambooHR, and UKG.
HRIS Integrations in Leadline allow users to create employee profiles in a connected HRIS system directly from a candidate profile — without having to manually re-enter the candidate's information into the HRIS. They exist to eliminate the manual handoff between your recruiting process in Leadline and your HR operations in the HRIS when a candidate is selected for hire.
Why Should I Connect an HRIS to my Account?
Connecting an HRIS to Leadline closes the gap between your recruiting process and your HR operations — turning what is typically a manual, error-prone handoff into a seamless one-click experience.
Many organizations use both an ATS and an HRIS, but Leadline already covers much of what a traditional ATS does. For teams using Leadline as their primary system of record for candidates, connecting an HRIS means you no longer need to manually re-enter hired candidates into a separate HR system. The moment a hiring decision is made, you can create the employee profile directly from Leadline and upload any relevant files — resumes, certifications, offer letters — to the new employee profile in the same session.
The result is a faster, cleaner onboarding handoff: less time spent on data entry, fewer opportunities for errors, and a more consistent experience for both your HR team and your new hires.
What is the Difference Between an ATS Integration and an HRIS Integration?
An ATS (Applicant Tracking System) is used during the recruiting process — it manages job postings, applicants, and hiring workflows. An HRIS (Human Resources Information System) is used after hiring — it manages employee data, payroll, onboarding, benefits, and other HR operations.
These two integration types serve different stages of the hiring process and work differently:
ATS Integration
- Direction: Two-way — Leadline receives job data from the ATS and pushes candidate data to the ATS
- What is created: A job application for the candidate within the ATS for a specific job
- When it is used: During the screening and qualification process
- Purpose: Track the candidate's application in the ATS alongside other applicants
HRIS Integration
- Direction: One-way — Leadline pushes candidate data to the HRIS only
- What is created: An employee profile for the candidate within the HRIS
- When it is used: After a candidate has been selected for hire
- Purpose: Onboard the hired candidate into HR systems for payroll, benefits, and employee record keeping

What HRIS Platforms Does Leadline Integrate With?
Leadline currently supports integrations with the following HRIS platforms:

Note: If you do not see your HRIS system listed, contact your Customer Success representative. Not all systems support all integration features. Some HRIS platforms may require a premium or developer contract on their end in order to enable API access — contact your HRIS provider for more information before setting up the integration.
Is the HRIS Integration a Premium Feature?
Yes. HRIS Integrations are a premium feature. Contact your Customer Success representative to enable HRIS Integrations for your account.
Who Can Configure HRIS Integrations?
Only Company Administrators can configure HRIS Integrations.

Where are HRIS Integrations Configured?
HRIS Integrations are configured within the Integrations tab of the Admin Hub — the same tab that houses ATS Integrations.

How do I Set Up an HRIS Integration?

How Does the HRIS Integration Work?
The HRIS Integration is one-way — data flows from Leadline to the HRIS only. When a candidate is ready to be onboarded, a Leadline user creates an employee profile for that candidate in the connected HRIS directly from the candidate's profile in Leadline. Files stored on the candidate profile can also be uploaded to the employee profile as part of the same process.
The integration does not pull any data from the HRIS into Leadline.
When Should I Sync a Candidate to the HRIS?
HRIS syncing is a post-hire action. Candidates should only be synced to the HRIS after they have been selected for hire and are ready to begin the onboarding process. Syncing a candidate to the HRIS before a hiring decision has been made is not recommended.
How are Employee Profiles Created in the HRIS?

Can I Upload Files to an Employee Profile After it Has Already Been Created?
Yes. Files can be uploaded to an existing employee profile at any time after it has been created.

How Will I Know if a Candidate Already Has an Employee Profile in the HRIS?
When a candidate enters the Leadline database, Leadline automatically checks whether the candidate already exists in the connected HRIS. If they do, an icon is displayed next to the candidate's name on their profile. Hovering over the icon displays the tooltip: "Employee Profile for this candidate already exists in {{HRIS System}}."
If a candidate already has an employee profile in the HRIS, a new profile cannot be created for them. However files can still be uploaded to their existing employee profile.

What Happens if a Profile Creation Fails?
If the employee profile creation fails, the result is displayed immediately in the modal with details about what went wrong. A full JSON response is available to view after any attempt — regardless of success or failure — to aid in troubleshooting. If the raw JSON is unclear, copy the content into the Rover chat and ask Rover to analyze the error for more details.
Can I Retry a Failed Profile Creation?
Yes. Failed syncs can be retried at any time.However it is best practice to first understand why the sync failed before retrying — retrying without resolving the underlying issue will likely result in the same error.

What Happens to HRIS Integration Events in the Candidate Activity Log?
Every HRIS interaction is logged in the Candidate Activity Log. The following events are tracked:
- Employee profile created in the connected HRIS
- Files uploaded to the employee profile in the connected HRIS — including which files were uploaded and their upload status
HRIS sync events can be filtered in the Activity Log using the HRIS integration filter tab — separate from ATS sync events.

How Will I Know if a Candidate Has Been Synced to the HRIS When Viewing Submissions?
There are two ways to determine whether a candidate has an employee profile in a connected HRIS:
1. HRIS Profiles Tag in the Submission Drawer (Easiest)
When viewing a Submission in the Submission Drawer, check the metadata section for an "HRIS Profiles" tag. If present, the candidate has an employee profile in a connected HRIS. Clicking on the HRIS name in that tag automatically opens the Candidate Activity Log and filters the events by HRIS Create Employee events — giving you a full view of the sync details for that candidate.
2. Activity Log Within the Submission Drawer
Open the Activity Log tab within the Submission Drawer and filter by HRIS integration events to view a full history of employee profile creation and file upload activity for that submission.

What Permissions Are Required to Create Employee Profiles in the HRIS?
Creating employee profiles in a connected HRIS requires the appropriate permissions. Configuring HRIS Integrations requires Company Administrator access.

Can I Disconnect an HRIS Integration?
Yes. A connected HRIS Integration can be permanently disconnected at any time. If you need to reconnect — whether you are returning to the same HRIS system or switching to a different one — you will need to go through the full authentication process again from the beginning.
All historical HRIS sync records in Leadline remain intact after disconnecting. The Candidate Activity Log will continue to display all previous employee profile creation and file upload events — Leadline retains this history as part of its system of record regardless of whether the integration is currently active.
