Position Tags
Overview
Position Tags are internal labels assigned to Positions that help organizations organize, filter, and report on their hiring efforts. They are configured by company administrators in the Admin Hub and can be made mandatory to ensure consistent data across all Positions.
→ See 102 - Admin-Hub for more information on the Admin Hub and how Position Tags are managed there.
→ See 116 - Reporting for more information on how Position Tags affect reporting.
Permissions Note: Creating, editing, and deleting Position Tags requires Company Administrator access via the Admin Hub. Assigning Position Tags to Positions requires the appropriate position creation permissions.
→ See 125 - User-Permissions for more information on position creation permissions.
→ See 1101 - Update-User-Permissions for instructions on how to update user permissions.
What are Position Tags?
Position Tags are tags that can be assigned to Positions to help organizations organize and manage their hiring data when viewing and exporting reports. They are a similar concept to Candidate Tags but are exclusive to Positions.
Each Position Tag is made up of two components:
- Position Tag — the datapoint or category (e.g. "Internal or External", "Department")
- Options — the selectable values within that tag (e.g. "Internal", "External", or "Marketing", "Operations", "Finance")
When assigning a Position Tag to a Position, the user selects which Option best represents that Position within the tag's category — enabling accurate filtering and reporting across your organization's Positions. Positions can have as many or as few Position Tags assigned as needed. A Position can also carry multiple Option values across different tags simultaneously.
→ See 1401 - Create-Position-Tag for instructions on creating Position Tags.
→ See 1402 - Edit-Position-Tag for instructions on editing Position Tags and Options.
→ See 1403 - Delete-Position-Tag for instructions on deleting Position Tags.
→ See 1404 - View-Positions-With-Assigned-Position-Tags for instructions on viewing Positions with specific Position Tag assignments.
→ See 1405 - Assign-Position-Tag for instructions on assigning Position Tags to a Position.
What is the Difference Between a Position Tag and an Option?
A Position Tag is the category or datapoint. Options are the selectable values within that category that represent the data.
For example — a company wants to distinguish between jobs advertised externally and jobs only shared internally. They would create a Position Tag labeled "Internal or External" with two Options: "Internal" and "External." When creating a Position, the user selects the appropriate Option to accurately categorize the role for reporting and filtering purposes.
→ See 1408 - Create-Option for instructions on creating Options within a Position Tag.
→ See 1409 - Remove-Option for instructions on removing Options within a Position Tag.
→ See 1410 - Rearrange-Options for instructions on rearranging the order in which Options are displayed to users when selecting them when assigning a Position Tag to a Position.
Why do Position Tags Exist?
Position Tags exist to help organizations group and report on their hiring data around their internal process. For example, a company could create a Position Tag labeled "Department" with Options representing each department — then pull reports from the Reporting page to see how each department is performing based on that tag.
→ See 116 - Reporting for more information on how Position Tags can be used in reporting.
Who Creates Position Tags?
Position Tags are created by Company Administrators in the Admin Hub. Non-admin users cannot create or manage Position Tags.
→ See 124 - User-Roles for more information on Company Administrator access.
→ See 102 - Admin-Hub for more information on the Admin Hub and how Position Tags are configured there.
Who Can Apply Position Tags to a Position?
There are two distinct actions related to Position Tags — creating and configuring them, and assigning them to Positions. These are handled by different users:
- Creating and configuring Position Tags — Company Administrators only, via the Admin Hub
- Assigning Position Tags to Positions — any user who has permission to create Positions
→ See 125 - User-Permissions for more information on position creation permissions.
→ See 1405 - Assign-Position-Tag for instructions on how to assign a Position Tag to a Position.
When are Position Tags Created?
There are no default Position Tags out of the box — they must be created manually by a Company Administrator. Position Tags can be created at any time.
When Can Position Tags Be Assigned to a Position?
Position Tags can be assigned to a Position at any time. The only exception is when a Position Tag is marked as mandatory — in that case, the Position Tag must be assigned at the time the Position is created. A Position cannot be created until a mandatory Position Tag has an Option selected.
→ See 1405 - Assign-Position-Tag for instructions on how to assign a Position Tag to a Position.
→ See 1406 - Mark-Position-Tag-As-Mandatory for instructions on how to mark a Position Tag as mandatory.
Where are Position Tags Managed?
Position Tags are managed in the Position Tags tab of the Admin Hub by Company Administrators.
→ See 102 - Admin-Hub for more information on accessing the Admin Hub.
→ See 101 - Platform-Links for the direct link to the Admin Hub.
Are Position Tags Required for Every Position?
By default, Position Tags are not required. However, Company Administrators can mark individual Position Tags as mandatory — which forces all users to assign an Option within that tag when creating any new Position going forward.
→ See 1406 - Mark-Position-Tag-As-Mandatory for instructions on how to mark a Position Tag as mandatory.
→ See 1407 - Remove-Mandatory-Status-On-Position-Tag for instructions on how to remove mandatory status for a Position Tag.
Can Position Tags and Options Be Renamed?
Yes. Both Position Tags and their Options can be renamed at any time.
→ See 1402 - Edit-Position-Tag for instructions on how to rename Position Tags and Options.
What Happens to a Position if a Required Position Tag is Deleted?
If a Position Tag is deleted, the Position remains intact. The deleted tag is removed from the Position but all other data is unaffected. However, the ability to filter and report on that Position Tag is permanently lost for any Position it was previously assigned to.
How do You Filter Positions by Position Tags?
→ See 2706 - Apply-Filters-to-Position-View for instructions on filtering Positions by Position Tags on the Positions page.
How do Position Tags Affect Reporting?
Position Tags give teams the ability to report on specific areas of their organization's hiring efforts. For example, a "Department" Position Tag with department-level Options allows users to filter reports by department and analyze how each area of the organization is performing in their hiring process.
→ See 116 - Reporting for more information on how Position Tags can be used in reporting queries.
Are Position Tags Visible to Candidates?
No. Position Tags are internal and are not visible to candidates during the application experience. However, Position Tags can be configured as a filter option on the website widget — allowing candidates to filter job listings by a specific Position Tag and Option when browsing open Positions on your organization's website.
→ See 1502 - Configure-Position-Tag-Filters for instructions on configuring Position Tag filters on the website widget.
What is the Difference Between Position Tags and Search Tags?
Position Tags are internal — they are used by your organization for filtering, reporting, and organizing Positions and are never visible to candidates. Search Tags are external — they are used to improve how Positions appear in external search results and job board discovery.
→ See 114 - Search-Tags for full product knowledge on Search Tags.
