Reporting

Overview

Reporting in Leadline gives hiring teams tangible, data-driven feedback on their recruitment and sourcing efforts. Since sourcing qualified candidates is a lengthy process, the purpose of these reports is to actively track progress, identify trends over time, and make informed adjustments so your organization is always on track to meeting its hiring goals.


What is Reporting and Why Does it Exist?

Leadline provides a variety of reports to help organizations measure the effectiveness of their recruitment and sourcing efforts. Since Leadline is built to enhance and augment your existing hiring process, reporting metrics give you tangible feedback on your progress — allowing you to see trends over time and make adjustments so you are always on track to meeting your goals.


Who Has Access to Reporting?

Access to the Reporting page requires the appropriate permissions. If you do not have access, the Reporting tab in the Global Navigation is hidden from you entirely.

Where is Reporting Accessed?

Reporting is accessed from the Reporting tab in the Global Navigation.

What Types of Reports are Available?

There are three categories of reports in Leadline, each with its own subset of reports:

1. Position Reports — focus on the overall performance of your Positions

  • Most Popular Jobs
  • Time to Fill
  • Positions Breakdown

2. Channel Reports — focus on channel performance and sourcing effectiveness

  • Channel Performance
  • Talent Acquisition Cost
  • Referral Program Performance

3. Candidate Reports — focus on candidate screening and qualification effectiveness

  • Submissions Snapshot
  • Conversion Rates
  • Time to Hire

What are Qualified and Unqualified Submissions and How are They Different?

Many platforms focus solely on the quantity of applicants. Reporting in Leadline distinguishes between two submission classifications that reflect where a candidate genuinely stands in the hiring process:

Qualified Submission — a Submission that is actively in legitimate contention to be selected or hired for the Position. These are candidates still being considered who have not been disqualified from the process.

Unqualified Submission — a Submission that is no longer in true contention to be selected or hired for the Position. These are candidates who have been disqualified, rejected, or otherwise removed from active consideration.

This distinction exists so that organizations can report on the true health of their hiring pipeline — separating candidates who are genuinely being evaluated from those who are no longer relevant to the hiring decision.

Note: Whether a Submission is classified as Qualified or Unqualified in reporting is determined by the Stage Type configured for each Workflow stage. Stages marked as a quality stage contribute to Qualified counts — stages marked as unqualified contribute to Unqualified counts.

Position Reports

The Most Popular Jobs Report breaks down every Position by clicks, incomplete submissions, complete submissions, quality submissions, and application rate.

Its main purpose is to identify which Positions are performing well compared to those that are not — so you can analyze differences in how they are advertised, shared, and configured, and make improvements over time to Positions that are struggling to generate impressions or quality applications.


What is the Time to Fill Report?

The Time to Fill Report measures the average time to fill a Position from the moment it is opened to when it is closed. It provides an overall view of how quickly your organization is able to fill open roles.

Its main purpose is to display your organization's time to fill and compare it against industry standards for a true benchmark of how efficiently your team screens, qualifies, and hires candidates. This report is especially useful for enterprise organizations with constant turnover month-over-month.


What is the Positions Breakdown Report?

The Positions Breakdown Report shows the total number of your Positions broken down by: Open – Not Published, Open – Published, Closed, and Archived.

Its main purpose is to display your organization's current positions based on their Published Status and Position Status. The report is generated from daily snapshots — when filtered by a specific timeframe, data is displayed using daily averages for that period. This is a good indicator for identifying how many new positions you are publishing and how many you are closing within a selected time period.

Channel Reports

What is the Channel Performance Report?

The Channel Performance Report measures the effectiveness of each channel by tracking clicks, incomplete submissions, complete submissions, quality submissions, hires, and rejected candidates for each Channel Tracking Link you are using to advertise Positions.

Its main purpose is to determine which channels are producing the best results and which are not. It is best practice to track these trends month-over-month so advertising adjustments can be made accordingly — especially when it comes to budget allocation.

What is the Talent Acquisition Costs Report?

The Talent Acquisition Costs Report measures each Channel Tracking Link's cost-per-click, cost-per-candidate, and cost-per-hire across all Channel Tracking Links. It is best used in conjunction with the Channel Performance Report to get a true understanding of how Positions promoted through paid advertisements are generating qualified vs unqualified submissions.

Its main purpose is to identify which channels have the highest ROI — indicated by which Channel Tracking Links have the lowest cost-per-hire. Compare your overall cost-per-hire against industry standards to determine the effectiveness of your sourcing channels.


What is the Referral Program Performance Report?

The Referral Program Performance Report measures the effectiveness of each individual referrer within a specific Referral Program — tracking clicks, incomplete submissions, complete submissions, quality submissions, hires, and rejected candidates per referrer.

Note: This report is scoped to a single Referral Program at a time. It is not a report for comparing all Referral Programs against each other. Use the Channel Performance Report to compare Referral Programs as a whole against other channel types.

Its main purpose is to determine which referrers within a specific Referral Program are producing the best results and which are not.

Candidate Reports

What is the Submissions Snapshot Report?

The Submissions Snapshot Report shows a total count of candidates in each of your Workflow stages. A Workflow must be selected to begin pulling data for this report — by default, your selected Default Workflow is used.

Its main purpose is to identify possible bottlenecks within your Workflow stages. By identifying over-populated hiring stages, you can develop strategies to reduce bottlenecks and keep the screening process moving as quickly and efficiently as possible. When filtered by a specific timeframe, the data displayed is generated using daily averages for that period.

What is the Conversion Rates Report?

The Conversion Rates Report shows your end-to-end candidate conversion rates for clicks, submissions, and hires. When filtered by a specific timeframe, the data displayed is generated using daily averages of clicks, submissions, and hires received for that period.

Its main purpose is to identify which Positions have the highest click-to-apply ratio, apply-to-match ratio, and match-to-hire ratio. These ratios can indicate candidate appetite for the Position, how difficult the screening process is, and how effectively qualified candidates are being converted to hires.


What is the Time to Hire Report?

The Time to Hire Report shows the average time it takes from the moment a candidate first applies to a Position to the time they are hired. The Workflow stage marked with the stopwatch icon is the start — and the stage marked with the green checkered flag is the finish. The time between these two stages is captured and used in daily snapshots to generate this report. When filtered by a specific timeframe, the data displayed is generated using daily averages for that period.

Its main purpose is to identify your time to hire and compare it to industry standards to discover whether you are competing above or below average. Out of all the reports, Time to Hire is the most relevant indicator of talent acquisition health and speed — the shorter the time to hire, the faster and more effective your screening and qualification process is.

What Date Range Can Reports Cover?

Reports can be filtered by any custom date range.


Can Reports Be Filtered?

Yes. Each report has its own set of filter options. The available filters per report are as follows:

Conversion Rates

  • Include candidates with non-US numbers (disabled by default) — when enabled, includes data from submissions flagged as having non-US phone numbers
  • Position Tags — filter Positions included in the dataset by selected Position Tags and options only
  • Positions — filter Positions included in the dataset by selected Positions only
  • Locations — filter Positions included in the dataset by selected Position locations only
  • Status — filter Positions included in the dataset by All Time (displays all positions regardless of status) or Current Openings (displays only positions currently assigned status "Open")
  • Specific Timeframe — display submission dataset for the visible Positions by the overall averages within the selected timeframe

Submissions Snapshot

  • Include candidates with non-US numbers (disabled by default) — when enabled, includes data from submissions flagged as having non-US phone numbers
  • Workflow Stages — only display submission data from the selected Workflow stages
  • Positions — only display submission data from selected Positions
  • Stage Type — only display submission data for stages marked as Qualified or Unqualified within the Workflow
  • Specific Timeframe — display submission dataset for the visible Positions by the overall averages within the selected timeframe

Time to Hire

  • Include candidates with non-US numbers (disabled by default) — when enabled, includes data from submissions flagged as having non-US phone numbers
  • Position Tags — filter Positions included in the dataset by selected Position Tags and options only
  • Positions — filter Positions included in the dataset by selected Positions only
  • Locations — filter Positions included in the dataset by selected Position locations only
  • Workflows — filter Positions included in the dataset by selected Workflows only

Channel Performance

  • Channels — display data from selected channels only
  • Workflows — display data from selected Workflows only
  • Include candidates with non-US numbers (disabled by default) — when enabled, includes data from submissions flagged as having non-US phone numbers
  • Submission Status by Date Range — displays the current status of submissions that were created within the selected date range

Most Popular Jobs

  • Location — display Positions within selected locations only
  • Position Tags — display Positions assigned selected Position Tags only
  • Positions — display data for selected Positions only
  • Workflow — display Positions assigned to selected Workflows only
  • Position Status — only display Positions assigned the selected status
  • Timeframe — display data within the selected timeframe as either Display Totals (position totals within the selected timeframe) or Display Averages (position averages within the selected timeframe)

Positions Breakdown

  • Position Tags — display Positions assigned selected Position Tags only
  • Location — display Positions within selected locations only
  • Workflow — display Positions assigned to selected Workflows only
  • Specific Timeframe — display position totals within the selected timeframe

Referral Program Performance

  • Non-US Phone Numbers — when enabled, includes data from submissions flagged as having non-US phone numbers
  • Referrer — display data from selected referrers only
  • Submission by Status by Range — displays the current status of submissions created within the selected date range only

Talent Acquisition Cost

  • Channels — display data from selected channels only
  • Workflows — display data from selected Workflows only
  • Position Tags — display channels included in Positions with specific Position Tags and options only
  • Positions — display channels associated with selected Positions only
  • Location — display channels associated with Positions within selected locations only
  • Include Incomplete Submissions (enabled by default) — include incomplete submissions within the dataset
  • Specific Timeframe — cost-per-candidate and cost-per-hire shown reflect the total average costs for that period

What Metrics are Tracked in Reporting?

The following metrics are tracked across Leadline's reports:

Submission Metrics

  • Total submissions received
  • Total complete submissions
  • Total incomplete submissions
  • Total quality submissions
  • Total unqualified submissions
  • Match rate — percentage of submissions that have a Lead Score of 50% or higher
  • Average Lead Score across submissions
  • Submissions by Workflow stage

Speed and Efficiency Metrics

  • Time to review — how long a submission spends in the Applied stage before being moved
  • Time to hire — how long from the Applied stage to the Hired stage
  • Average time per Workflow stage

Sourcing and Channel Metrics

  • Submissions by Channel Tracking Link
  • Submissions by source type (Organic, Paid, Referral, Event)
  • Top performing channel by submission volume
  • Top performing channel by quality submission volume
  • Cost per submission by channel (if ad spend is entered)
  • Cost per quality submission by channel

Position Metrics

  • Submissions per Position
  • Open Positions count
  • Closed Positions count
  • Positions closed in a given time period
  • Time a Position was open before being filled

Referral Program Metrics

  • Submissions by referrer
  • Quality submissions by referrer
  • Top performing referrer

Workflow and Stage Metrics

  • Submissions by Workflow stage across all Positions
  • Stage conversion rates — how many submissions move from one stage to the next
  • Rejection rate — how many submissions end up in the Rejected stage
  • Hire rate — how many submissions reach the Hired stage

What Cannot Be Reported On?

The following are not currently tracked or reportable within the Reporting page:

User Activity Metrics

  • Submissions reviewed per individual user
  • Average submissions reviewed daily across the team
