Indeed Integration

Overview

The Indeed Integration connects Leadline to Indeed via the Indeed Job Sync API — allowing Positions published in Leadline to appear on Indeed in near real-time. This is a two-way API integration: Leadline pushes job data to Indeed and can retrieve job status back from Indeed. It differs from Indeed's XML feed integration in speed and reliability.

What is the Indeed Integration?

The Indeed Integration is a direct API connection between Leadline and Indeed that allows Positions created and published in Leadline to automatically appear as job postings on Indeed. When a Position is published in Leadline, it is sent to Indeed via the Indeed Job Sync API. When a Position is closed or unpublished in Leadline, it is expired on Indeed automatically.


Why Does the Indeed Integration Exist?

The Indeed Integration exists so that organizations using Leadline can advertise their open Positions on Indeed without having to manually create or manage job postings on Indeed separately. Leadline acts as the single source of truth — create and publish a Position once in Leadline and it appears on Indeed automatically.

How Does the Indeed API Integration Differ from an XML Integration?

Leadline's Indeed integration uses Indeed's Job Sync API rather than an XML feed. The key differences are:

API Integration (Leadline's Indeed Integration)

  • Jobs are created, updated, and expired in near real-time via direct API calls
  • Job status can be retrieved from Indeed and displayed within Leadline
  • Changes to Positions in Leadline are reflected on Indeed almost immediately

XML Integration

  • Jobs are syndicated via a hosted XML feed that Indeed parses on a scheduled cadence
  • Changes are not reflected until Indeed's next scheduled parse of the feed
  • Job status cannot be retrieved in real-time

Is the Indeed Integration a Premium Feature?

Yes. The Indeed Integration is a premium feature available on the Leadline Professional Plan or higher. Contact your Customer Success representative to gain access by upgrading your plan.


Who Can Configure the Indeed Integration?

Users with the appropriate Job Board Integration permissions can configure the Indeed Integration. This is not limited to Company Administrators — non-admin users can be granted access by a Company Administrator if desired.

How Do I Set Up the Indeed Integration?

Can You Temporarily Disable or Re-Enable the Indeed Integration?

Yes. The Indeed Integration can be temporarily disabled at any time — for example, if you need to pause job postings without fully removing the integration. The integration can be re-enabled whenever you are ready to resume syncing Positions to Indeed.

What Position Fields are Required for a Job to Post to Indeed?

The following fields must be configured on a Position before it is eligible to post to Indeed:

Required Fields:

  • Position Name — the job title displayed to candidates on Indeed
  • Job Description — the full job description shown to candidates.
  • Location — the job location
  • Brand — used as the employer identity for the posting on Indeed (maps to Indeed's source name)
  • Contact Email — a valid contact email address
  • Contact Phone — the contact phone number in E.164 international format

Note: Indeed enforces country-specific requirements. Jobs posted in the United States may behave differently from jobs posted in other countries. The API returns validation errors for fields that do not meet requirements.

What Position Fields are Optional for Indeed Postings?

The following fields are optional but recommended for improved job visibility and candidate experience on Indeed:

  • Salary Information — displayed to candidates on Indeed
  • Job Type — Full-Time or Part-Time
  • Remote/In-Person Type — On-site, Hybrid, or Fully Remote
  • Benefits — displayed to candidates on the job posting
  • Requirements — displayed to candidates on the job posting

Are There Country-Specific Requirements for Indeed Job Postings?

Yes. Indeed enforces different field requirements by country to meet local regulations and Indeed policies. Jobs created in the United States may behave differently from jobs created in other countries.

Note: For jobs posted in Japan, Indeed has specific posting guidelines that differ from other countries. Contact your Leadline Customer Success representative if you are posting jobs in Japan.


Does Indeed Support Screener Questions?

Yes. The Indeed Job Sync API supports screener questions through Indeed Apply. Screener questions help employers quickly determine whether applicants meet their criteria before connecting with candidates.

Leadline's Application Form Questions serve as the screener question layer for positions posted to Indeed. When a candidate applies via Indeed Apply, the screener questions defined in the Position's Application Form are presented to the candidate.

Note: Indeed does not host screener questions for you — they must be implemented and hosted by Leadline.

Does the Indeed Integration Support Indeed Apply?

Yes. Enabling the Indeed Integration automatically enables Indeed Apply — allowing candidates to apply to your Positions directly through Indeed's native application experience. However, it is recommended that you opt out of Indeed Apply for the following reasons:

Indeed Apply does not support video questions. Any video questions included in your Application Form will be omitted from the Indeed Apply experience — candidates applying through Indeed will not be presented with them.

Indeed Apply does not redirect applicants to your Leadline-powered Landing Pages. Candidates who apply through Indeed Apply will not see your branded Landing Page content.

Indeed Apply does not display Match or Not-a-Match Pages. Candidates who apply through Indeed Apply will not be redirected to your post-submission pages after applying. Consider using a Workflow automation email to inform applicants of next steps after submitting.

Indeed Apply does not share impressions or clicks data with Leadline. Conversion metrics on your Leadline Reporting dashboard may not be fully accurate for Positions promoted through Indeed when Indeed Apply is enabled.

What are Demographic Questions on Indeed?

Indeed distinguishes between general screener questions and demographic questions. Demographic questions cover a candidate's protected class — such as ethnicity, gender, or disability status. These questions are subject to regulations in certain jurisdictions and are handled separately from standard screener questions.

Note: Demographic questions on Indeed are limited to U.S.-based jobs for EEO compliance purposes. They must not be mixed with general screener questions.

How Do I Know if My Position is Posted on Indeed?

When viewing a Position in Leadline, the Indeed job status is displayed showing whether the Position is currently live on Indeed. Clicking the status indicator opens Indeed's job management page for that posting where you can view full details.

The following status states are possible:

  • Live — the Position is active and appearing in Indeed search results
  • Expired — the Position has been removed from Indeed and does not appear in search results
  • Needs Sponsorship — the Position requires a sponsored listing to appear in search results
  • Needs Update — the Position requires an update before it can appear in search results
  • Unknown — the Position is not found on Indeed, or the connected account does not have access to it

How Quickly Do New Positions Appear on Indeed After Publishing?

New Positions are posted to Indeed in near real-time after being published in Leadline. If you experience latency or errors, wait at least 2 minutes before checking whether the posting has appeared on Indeed.

Can I Control Which Jobs are Posted to Indeed?

Yes. You can control which Positions from Leadline are posted to Indeed. However, Indeed mandates that if you leverage the Job Post API, all external jobs displayed on your public-facing careers page must match the jobs being posted from Leadline to Indeed. Indeed does not allow users leveraging the Job Post API to selectively hand-pick individual jobs to send to Indeed.

The main reason Leadline offers this configuration flexibility is specifically to allow users to prevent internal-only jobs from being posted to Indeed accidentally — not to selectively post a subset of external jobs.

Note: If you are filtering jobs from the Indeed feed, ensure that the jobs remaining in the feed accurately represent all of your publicly advertised external positions to remain compliant with Indeed's requirements.

What Happens to a Position on Indeed When it is Closed or Unpublished in Leadline?

When a Position is closed or unpublished in Leadline, it is automatically removed from Indeed and will no longer appear in search results. You do not need to take any additional action on the Indeed side — Leadline handles this automatically.

Can a Position Be Reactivated on Indeed After it Expires?

Yes. An expired Position can be reactivated on Indeed within 30 days of expiration. After 30 days, Indeed may archive the job's statistics and configuration — reactivating after this window typically results in a new posting being created rather than the original being restored.

Note: For roles that open and close on a recurring basis, see "What are Best Practices for Evergreen Positions on Indeed?" below to avoid reactivation issues altogether.


What are Best Practices for Evergreen Positions on Indeed?

An evergreen position is a role that an organization hires for on an ongoing basis — such as a general labor position, a delivery driver, or a nurse — where the need never fully goes away.

Indeed's best practice for evergreen positions is to reuse the same Position in Leadline rather than creating a new one each time the role opens up. Creating a new Position for the same recurring role generates a new job posting on Indeed with different backend identifiers — even if the position details look identical to the previous one. Indeed actively monitors for duplicate postings and when it detects them, it will likely remove the job from search results entirely, making it invisible to candidates.

This means even if two Positions in Leadline look exactly the same to a user, the data Leadline passes to Indeed on the backend is different for each one — and Indeed will flag the newer posting as a duplicate of the original, removing it from being searchable.

Instead, when an evergreen role needs to be reopened:

  1. Find the existing Position in Leadline
  2. Update the Position details if anything has changed
  3. Open and publish the existing Position

This ensures Indeed treats it as the same ongoing role and maintains its posting history and visibility.

Best Practice: Never archive or delete a Position in Leadline that represents an evergreen role if you intend to reuse it. Use the Open and Publish actions to reactivate it instead.

Can I Update a Position After it Has Been Posted to Indeed?

Yes. When you make changes to a Position in Leadline that is already posted to Indeed, those changes are sent to Indeed via an upsert — meaning if the job exists, it is updated; if it does not exist, it is created. All required fields must be included in every update, even if those values are not changing.


How Do Indeed Applications Appear in Leadline?

Indeed applications appear in Leadline the same way all other applications do — as Submissions accessible via the Submission Drawer within the Position they applied to.

Yes. All Submissions generated through the Indeed Integration are credited to the "Indeed" Channel Tracking Link in Leadline's reporting.

What Happens if a Position Fails to Post to Indeed?

If a Position fails to post to Indeed, the first step is to check the Indeed job status for that Position in Leadline. The status will identify the specific issue — whether the posting is missing required fields, needs sponsorship, or requires another action before it can appear in search results.

Common causes of posting failures include missing required fields, incorrectly formatted phone numbers, or not having a Landing Page assigned to the Position.

If the status is unclear or you are unsure how to resolve the issue, ask Rover to analyze the error and suggest next steps.

Are There Rate Limits for the Indeed Integration?

Yes. Indeed controls the rate at which jobs are posted and updated on their platform — this is managed entirely by Indeed and is not something Leadline can adjust. If you are making metadata changes to multiple Positions at once, those changes may take a few minutes to fully reflect on Indeed while Indeed processes each request in sequence.

If you encounter a rate limit error, simply wait a few minutes before trying again. No action is needed on the Leadline side.
