Close Position
Overview
This playbook covers all supported methods for closing a Position in Leadline. Closing behavior varies by method — specifically how it affects the Position's Published Status:
- Method 1 and Method 3 — closing a Position automatically sets its Published Status to Unpublished. Candidates will no longer be able to apply through any Channel Tracking Links associated with the Position.
- Method 2 — closing a Position via the Position Drawer retains the current Published Status. Channel Tracking Links remain active and candidates can still apply if the Position was previously published.
You also have the ability to notify candidates via email that the Position has been closed at the time of closing.
→ See 111 - Positions for full product knowledge on Positions and Position Status definitions.
→ See 405 - Open-Position for instructions on reopening a closed Position.
→ See 107 - Communications for more information on sending email communications to candidates.
Method 1 — Close from Within the Position Details Page
Best for: Closing a Position that was just recently filled — for example, after moving a Submission to the appropriate Workflow stage indicating a candidate was selected for hire or sent to an integration for onboarding.
- Navigate to the Position Details Page for the Position.
- At the bottom right of the screen, click the "Close Position" button.
Your Position is now closed. If the Position was published, it has been automatically unpublished.
Note: When closing a Position, you will be given the option to notify candidates via email that the Position has been closed. You can choose which candidates to notify before sending.
Method 2 — Close from the Position Drawer on the Positions Page
Best for: Closing a Position that was previously left open, an evergreen Position that is ready to be closed, or when you want to hide a Position from the Website Widget and Job Board Integrations while keeping Channel Tracking Links active and able to accept submissions.
- Navigate to the Positions Page.
- Click on the Position from the table to open the Position Drawer.
- At the top of the drawer, click the dropdown button displaying the current Position Status — either "Open", "Closed", or "Archived".
- Select "Closed" from the dropdown list.
Your Position is now closed. Unlike other closing methods, this method retains the Position's current Published Status — it does not automatically override it to "Unpublished."
Note: When closing a Position, you will be given the option to notify candidates via email that the Position has been closed. You can choose which candidates to notify before sending.
Method 3 — Close via Bulk Actions on the Positions Page
Best for: Closing multiple Positions at once rather than individually.
- Navigate to the Positions Page.
- Use the checkboxes on the left side of the table to select the Positions you want to close.
- In the bulk actions bar that appears, click the "Update Leadline Status" button.
- Within the drawer, click the "Close Positions" button.
Your selected Positions are now closed and automatically unpublished.
