Export Candidate Application Form

Selecting a Version

When the Export Report modal opens, a version select input appears at the top. The most recent Application Form version is selected by default. If the position has multiple versions, select the appropriate version before proceeding.

Best practice: To preserve reporting integrity, export all versions of the Application Form — not just the most recent — for the most accurate and complete dataset.

Export Sections

The export is broken into the following sections:

1. Position Information A high-level overview of the position at the time of export:

  • Position ID
  • Position Name
  • Location
  • Total Submissions
  • Submissions for this Version
  • Published On
  • Closed On (leave blank if the position is currently open)
  • Assigned Workflow
  • Assigned Collaborators
  • Any assigned filters

2. Submission Snapshot A point-in-time summary of how many submissions are in each stage of the hiring workflow at the time of export.

3. Candidate Response Summary A raw dataset containing all candidate names and their responses to every question in a single sheet. This is the best option for getting a complete view of all submission responses tied to individual candidates in one place.

4. Candidate Application Form Responses A breakdown of candidate response activity at the question level. Users can select any combination of questions to include in the export using a tree component — individual questions can be hand-picked or grouped selections can be made.

  • This export displays totals and averages only — individual candidate responses are not visible at this level
  • Use the Candidate Response Summary export if you need to view individual candidate responses

Important: If the Application Form version changes, the questions available in this export will change to reflect the selected version. Always confirm the correct version is selected before exporting to ensure the question data matches the submissions you are reviewing.
