Complete Submission
Overview
This playbook covers all supported methods for completing an Incomplete Submission in Leadline. An Incomplete Submission becomes a Complete Submission when the Application Form responses are fully submitted — either by a Leadline user completing it on the candidate's behalf, or by the candidate completing it on their own.

How Do Incomplete Submissions Become Complete Submissions?
Incomplete Submissions become Complete Submissions when either:
- A Leadline user completes the Application Form on the candidate's behalf and submits it
- The candidate completes and submits the Application Form on their own
Once the Application Form responses are submitted, the Submission is marked as Complete and a Lead Score is generated automatically.
Method 1 — User Completes the Submission on the Candidate's Behalf
When viewing an Incomplete Submission in the Submission drawer, navigate to the Submission Response tab and click the "Complete Submission" button.
A new browser tab will open displaying the Application Form. The user can then fill out the Application Form questions on the candidate's behalf. Once the user clicks "Submit", the Submission is marked as Complete and a Lead Score is generated.

Method 2 — Candidate Completes the Submission via Channel Tracking Link
The candidate can return to the Position at any time via a Channel Tracking Link and restart the application process using the same email address or phone number they used when they originally started their application.
The system will automatically recognize the candidate and link their responses to the existing Incomplete Submission. Once the candidate completes and submits their Application Form responses, the Submission is marked as Complete and a Lead Score is generated.

Method 3 — User Sends a Reminder to the Candidate
When viewing an Incomplete Submission in the Submission drawer, navigate to the Submission Response tab and click the "Send Reminder" button to launch the Send Reminder modal.
Within the modal, draft an email to the candidate. The email will contain a hyperlinked piece of text with a unique authentication token embedded — this link allows the candidate to bypass the opt-in modal and go directly to the Application Form questions to complete and submit their responses. Once the candidate clicks "Submit", the Submission is marked as Complete and a Lead Score is generated.
Note: The reminder email can only be sent to the email address captured on the Incomplete Submission. Each candidate's link is unique and cannot be sent to multiple candidates at once.

Can a Reminder be Sent More Than Once to the Same Candidate?
Yes. A reminder to complete an Incomplete Submission can be sent to a candidate at any time. Each time a new reminder is sent, a new authentication token is generated for that Submission. Previously generated tokens remain active and accessible — each token's expiration is independent.
Does the Reminder Email Have a Default Template?
Yes. The Send Reminder modal pre-populates the following default template:
"Hi {{CandidateName}}, thank you for your interest in the {{PositionName}} position at {{CompanyName}}. Our records indicate you started your application but never submitted anything. Please click here to complete your application so we may begin evaluating your submission to make a decision."
The "click here" text is hyperlinked and contains the candidate's unique authentication token. The email body can be edited at any time. The variables used in the template such as {{CandidateName}}, {{PositionName}}, and {{CompanyName}} are Smartlines. If the hyperlinked text is accidentally deleted, close the modal and relaunch it to restore the default template with the hyperlink intact.

Does the Reminder Link Expire?
Yes. Authentication tokens expire after 24 hours. If multiple reminders are sent to the same candidate, each token expires independently — meaning both links remain active simultaneously until each one individually reaches the 24 hour expiration window.
