Update Submission Stage

Overview

This playbook covers all supported methods for moving a Submission to a different Workflow stage in Leadline. Submissions can be updated on desktop and mobile devices. You must have the appropriate permissions to update Submission stages.

Note: Submissions can be moved to any stage within the Workflow at any time. However, it is strongly advised that Submissions progress through each stage in order to maintain accurate reporting and a cohesive internal hiring process.

Note: Moving a Submission to a different Workflow stage will trigger automations associated with the destination stage. Be aware of any automations configured for a stage before moving Submissions into it.

Note: When moving a Submission to the Rejected stage, a disposition reason is always required for compliance purposes. A select input will display default rejection reason templates to choose from — selecting a template populates the text field automatically. The text can be edited after selection. If the template text is edited in any way, the select input will update to display "Other." Rejection reason templates are configurable by administrators in the Admin Hub.

Note: When moving 10 or more Submissions to a different stage at once, a confirmation modal will appear. Type "Update" in the input to enable the save button in the modal and complete the action.

Desktop Methods

Method 1 — Progress or Qualify Button

When viewing the Submission drawer, click the "Progress" or "Qualify" button at the top right of the drawer to move the Submission to the immediate next stage in the Workflow.

Note: The button displays "Qualify" when the Submission is in the first stage of the Workflow. It displays "Progress" in all subsequent stages. Both buttons perform the same action — moving the Submission to the immediate next Workflow stage.


Method 2 — Reject Button

When viewing the Submission drawer, click the "Reject" button to immediately disposition the Submission and move it to the Rejected Workflow stage. A rejection reason is required before the action is completed. Select a default template from the dropdown to populate the text field, edit the text if needed, and confirm to complete the rejection.

Method 3 — Workflow Stages Component

When viewing the Submission Response tab within the Submission drawer, click on any step within the "Workflow Stages" component to move the Submission directly to that stage. Icons displayed above each stage indicate what type of automations are associated with it.


Method 4 — Drag and Drop (Kanban View Only)

When viewing Submissions in Kanban view, drag and drop a Submission card to any stage within the Workflow.

To move multiple Submissions at once:

  1. Use the checkboxes on the Submission cards to select the desired Submissions
  2. Drag and drop one of the selected cards into the destination Workflow stage
  3. All selected Submissions will automatically move to that stage

Method 5 — Bulk Actions Bar (Kanban and List View)

When viewing Submissions in either Kanban or List view:

  1. Use the checkboxes to select the desired Submissions and display the bulk actions bar
  2. Click the "Update Stage" button from the bulk actions bar to launch the Update Workflow Stage modal
  3. Use the dropdown to select the destination Workflow stage
  4. Click "Save" to move all selected Submissions to the selected stage

Method 6 — Actions Dropdown (List View Only)

When viewing Submissions in List view, the last column of each row contains an "Actions" dropdown:

  1. Click the "Actions" dropdown on the desired Submission row
  2. Click "Update Stage" to launch the Update Workflow Stage modal
  3. Select the destination Workflow stage and click "Save"

Mobile Methods

Method 7 — Progress or Qualify Button

When viewing the Submission drawer on a mobile device, tap the "Progress" or "Qualify" button at the bottom of the screen to move the Submission to the immediate next Workflow stage.

Note: The button displays "Qualify" when the Submission is in the first stage of the Workflow. It displays "Progress" in all subsequent stages. Both buttons perform the same action.


Method 8 — Reject Button

When viewing the Submission on a mobile device, tap the "Reject" button to immediately disqualify the Submission and move it to the Rejected Workflow stage. A rejection reason is required before the action is completed. Select a default template from the dropdown to populate the text field, edit the text if needed, and confirm to complete the rejection.

Method 9 — Stage Select Dropdown

When viewing the Submission on a mobile device, a select component is displayed below the candidate metadata.

  1. Tap the input to display a dropdown of all Workflow stages for the Position
  2. Tap the desired stage to select it
  3. Tap the "Progress" button to move the Submission directly to the selected stage

Pro Tip: This method is best for quickly advancing Submissions through the Workflow without requiring them to complete each stage in sequence.


Default Rejection Reason Templates

When rejecting a Submission, the following default templates are available in the rejection reason select input. Selecting a template automatically populates the text field. The text can be edited after selection — if edited in any way, the select input will update to display "Other."
